Challenge

A multi-site industrial company came to use with a clear pain point

We need to collect and update dozens of compliance documents from each supplier - and it's becoming unmanageable

With hundreds of active suppliers, the client was manually chasing:

  • Certificates (ISO, REACH, CE, etc.)
  • Valid insurance documents (Liability coverage)
  • Regulatory declarations

A full-time employee was dedicated solely to this task - and despite that, they were flagged as non-compliant during a recent ISO 9001 audit due to missing and outdated documents. 

Solution

We deployed our compliance automation module to:

  • Automate the collection and updates of all required supplier documents. 
  • Check document validity: expiration dates, mandatory fields, completeness, signatures, etc . ...
  • Trigger automatic reminders to suppliers when documents were expired or the regulations was changed.

In addition, our system surfaced key compliance risks in real time.

Through automation ISO 9001 compliance was fully restored while allowing the customer to realize significants gains in terms of time savings. 

But that’s not all — thanks to our document intelligence layer, we uncovered deeper insights:

  • Key purchases were not covered by any valid contract
  • Some insurance certificates (RC) had silently dropped coverage amounts compared to the previous year — increasing the client’s financial exposure
  • Several suppliers had outdated declarations, exposing the client to regulatory risk
